Carroll explained, “According to our maintenance dashboard, we had 3,048 work orders across 1,000 beds over the last 12 months. Let’s break down how this time adds up.”

“On average, each work order takes about 15 minutes. That totals 762 hours, or almost 32 days of work,” Carroll continued. “After reviewing our top work order categories—appliance requests, GFI issues, HVAC problems, and general maintenance—I found that these accounted for 35% of service requests.”

To tackle this, Carroll had her team create video tutorials for these common service requests. By using video, they empowered residents to resolve simple issues safely in their apartments. The result? Carroll estimates they will save 1,100 work orders, translating to 272 hours—or 11 workdays!

Embedding Videos to Save Time on In-Person Tours

Another strategy Carroll implemented was embedding unit-level video tours and amenity videos on their Internet Listing Sites (ILSs) and SiteMaps. This approach has enabled her leasing team to reduce the number of in-person tours and help prospective renters narrow down their apartment search.
